1. CHARGING FOR PHOTOCOPIES
Effective Monday, March 20th charges for public
photocopying at all Stanford University Libraries locations
and the Hoover Institution Library began. The rates
should have been posted by all machines this week and are
as follows:

All card vend transactions will now be done using the
StanfordCard debit plan. Please refer to the information
posted in the What's New section of our SUL/AIR
Home Page regarding locations where individuals may
purchase cards or add money to their StanfordCard Plan as
well as details for IKON CopyCard exchange procedures:

This information has also been posted at all photocopy
locations. Library departments/units SHOULD NOT attempt
to exchange values from old IKON cards; please simply
destroy any old SUL/AIR departmental IKON cards that you
may still have.
STAFF PHOTOCOPYING
We will also begin to be charged for all staff
photocopying on both office or public copy machines.
You will need to use your pin code on all office copy
machines. It is the same code that you previously used
with the IKON equipment. Please contact your
department administrator or operations manager (or Cindy
Skalski at 3-3221 or cindy.skalski@forsythe) if you need
to be informed or reminded of your departmental pin code.
Unfortunately, we learned recently from Xerox that the
specified public "book copiers" cannot accommodate both
card swipe and key pad/pin code technology. This only
became evident after the Diebold cardreaders were
installed on these specific machines, and certainly was not
anticipated by either Xerox or Diebold. Xerox has done
very thorough research and testing (at the expense of
delaying even longer the start date for charging for
copies), but has been unable to come up with a solution to
date. While they continue to pursue ideas to accommodate
the combined use of card swipe and key pad technology on
the public machines, we must move ahead now to start
charging for copies. For the time being, SUL/AIR
departments needing to use public photocopy machines for
photocopying will be issued special StanfordCard
Plan/Diebold copy cards for this purpose. In the case of
all Branch Libraries other than Engineering, staff
photocopying all takes place on the public machines. Cindy
will do an initial distribution of these cards which have
been set up for copying to each Department or Branch
Library on Monday. Department heads and operations
managers will receive a subsequent e-mail note with more
details about this later this afternoon or first thing on
Monday morning. We assume that there will need to be
adjustments to the first pass distribution based on needs
and use over the next few weeks.
PLEASE NOTE: There is a charge incurred for each and every
photocopy made by library staff, and I take this
opportunity to remind you that office photocopiers are to
be used only for work-related photocopying. Also, in our
contractual arrangements with Xerox, staff photocopying
done on office machines costs less per copy than when staff
make copies on public machines. While there is no
alternative to using the public copiers in most Branches
or when color or large format copies are needed, please try
to do copying on office machines whenever possible.
NON-SUL/AIR DEPARTMENTAL COPYING
The card acquisition and exchange guidelines noted above
also instruct non-SUL/AIR departments in the university
on how to obtain StanfordCard plan cards and put
departmental money on them. A few academic and
administrative departments were using keypad access to our
photocopiers during the IKON regime. The Department
administrator in each of these instances is being contacted
regarding our inability to continue the keypad access mode,
and Cindy will work with them as needed to help set up
alternative card access arrangements.
I ask and thank you in advance for your assistance and
patience during the next several weeks as we activate
charging for copying in the Xerox/StanfordCard plan model.

period is going to make this a very hectic few weeks for
