1. CHANGES IN PROCEDURES FOR PETTY CASH AND SNAP CHECKS

We have examined several of our responsibilities in light of recent organizational shifts, and are making the following procedural changes, effective Tuesday, November 16:

PETTY CASH

Cindy Skalski will assume the responsibility for management of all petty cash funds. Susan and Cindy will meet with all petty cash custodians to ensure a smooth transition. The fund currently managed by Viorica Grigorescu will be transferred to Steve Shurley. Steve will take over on Tuesday, November 16, and his hours will be from 10:00 AM to 11:00 AM on Tuesdays and Thursdays.

SNAP CHECK CERTIFICATION

We will no longer offer this service centrally, and all Snap Checks should now be sent directly to Travel and Reimbursement. Our original intent when we established this service was to provide a savings in the time it took to obtain a reimbursement. Given the time these requests spend in ID mail getting to Viorica, and then over to Travel, we are not doing any better than the current turnaround time Travel is providing. If departments wish to have a local certifier, that is certainly an option. Please contact Susan for details.

Viorica will process the requests that have her listed as certifier thru Monday, Nov. 15.

PROCUREMENT CARDS

We encourage departments to explore the use of this card as an alternative to petty cash and snap checks. Please contact Cindy for more information.

2. CHECK HOME ADDRESSES FOR W-2 DELIVERY

Now is the time to remind employees in your area to be sure their "W-2 Address" is correct in the online Faculty/Staff Directory. Payroll & Records will be mailing W-2 forms in January.

If the employee wants the W-2 sent to the regular home address (listed on the first screen of the ENTRY form in the Faculty/Staff Directory), nothing needs to be done. If the employee wants the W-2 form sent to another address, they should enter the information on the second screen (W-2 Address), and the form will be sent there this year and in future years, until the screen is changed.

Employees can view or change their entries by typing, from the Forsythe computer, PRISM SEL FAC/STAFF//ENTRY and following the instructions.

Payroll/Personnel administrators can view or change Directory and W-2 addresses of employees whose records they have access to, by typing, from the Forsythe computer, PRISM SEL CHRIS PEOPLE//ENT DIR and then following the instructions
