This document is also available as a Microsoft Word file. Right-click here to download.

Job Posting Instructions

Step 1 : Please deliver this completed & signed form to SULAIR Human Resources, Green Library East, Rm 231A.

Step 2 : Please send job description with qualifications online to srs@stanford.

Step 3: Please refer to the Staff Search Process on the SULAIR HR website for information on running a search in SULAIR.

Number of Days Job Must Be Posted

Effective July 1, 2010, all jobs must be posted externally and internally (concurrently) for a minimum of 10 calendar days.

Posting an Academic Staff Librarian Position:

These instructions and this form are also used to post a Librarian position. Please send the vacancy announcement to srs@stanford.edu. The vacancy announcement will be used to post the position. You do not need to send a separate description and qualifications. Please refer to the Librarian Search Process on the SULAIR HR website.

What to Do When You Have Enough Applicants:

Once you have your desired pool of applicants, and you have satisfied the required 10 days of posting, please send an email message to srs@stanford.edu to request your job be taken down from Stanford Jobs. Doing so means you do not have to acknowledge/review/interview any candidates whose applications arrive after the job has been taken down.

Trovix and How You Will Receive Resumes:

All staff jobs are posted using Trovix. All applicants must apply by going to the Stanford Jobs website (http://jobs.stanford.edu/) and clicking on the Apply button on the job(s) to which they wish to apply. The Hiring Officer will receive the applicants’ resumes through e-mail and will also be able to log into Trovix to mark applicants, add notes, etc. If you would like another person to receive the resumes as well, please let us know to add the name to the Watch List. People on the Watch List will not be able to log into Trovix, however.

Hiring Officer’s Responsibility for Tracking Applicants

Hiring supervisors have a regulatory responsibility to track the applicants for posted jobs. Effective 1 July 2009, a mandatory process has been implemented that requires you to use Trovix to enter disposition data for all applicants. The Search Summary worksheet no longer complies with the regulations and does not need to be done. Please see http://ose.stanford.edu/resources/ for resources on the Office of Staff Employment website and http://ose.stanford.edu/pdf/2_easy_reference_guide_for_hiring_managers_brochure.pdf for the Easy Reference Guide to Trovix for Managers.

Advertising Jobs Outside of Stanford

Posting to distribution lists is the responsibility of the hiring officer. If you wish your job posted at places outside of Stanford, please list the places in the appropriate area of the form.
