SUL/AIR Tuition Reimbursement Program
Policy
Within budgetary limits, the Stanford University Libraries and Academic Information
Resources (SUL/AIR) provides financial assistance to staff members who wish to
increase their professional competence or job-related skills by pursuing programs
leading to academic or professional degrees (undergraduate and graduate). This
program recognizes the need to have staff members that are highly trained in both
technical and subject areas in order to carry out effectively the service programs
of SUL/AIR.
Eligibility
The proposed program must contribute to the professional or job-related
development of the individual.

Staff must be appointed for at least 50% time in SUL/AIR, and must have
completed at least one year of service in the Libraries at 50% time.
SUL/AIR allows full-time staff members time off to attend classes for credit
with pay if it is job related. If it is for career development, up to 24 hours
per month without pay if no comparable course is offered during non-work hours.
With approval the employee may use up to 24 hours of available PTO and Vacation
if the course is not offered during non-work hours. Time off of persons working
75% time is prorated based on the limit. The department head must determine
that the individual's work unit can be adequately staffed during the period
of time required for completion of the program.
Procedure for Application and Approval
A staff member who wishes to apply for financial assistance under this program
should submit to his/her department head a fully developed plan for a program
leading to an academic or professional degree. This plan should include an outline
of the courses required, the time scheduled for completion of the program and
an estimate of the cost. Each applicant should discuss his/her plans with the
department head as early as possible during the formulation of the program. The
staff member must also append to the plan a copy of the notice of acceptance to
the specific program.
Based on the proposal submitted by the staff member, the department head will
review the plan and submit a written recommendation to the appropriate Assistant
University Librarian (AUL) regarding financial support. The criteria listed in
Paragraph II--Eligibility of this document should be evaluated by the department
head in the written recommendation.
The AUL will review the application and discuss level of funding with SUL/AIR
Human Resources. This decision will be based on fulfillment of the criteria listed
in Paragraph II of this document and is subject to availability of funds. Funds
available to support this program cannot be fixed in advance, and there may be
temporary limitations on the implementation of the program as a result.
Reimbursement
This program does not change any existing arrangement under which the staff member
can participate in other benefits of staff development opportunities provided
by the University.
The amount of support approved will be reimbursed upon completion of a course
with a passing grade. The original tuition receipt, transcript and Staff Training
Assistance Program application (STAP) must be submitted to the SUL/AIR Human Resources
Office at the end of each term.
Employment Status
Reimbursement under this program does not oblige the recipient to continue employment
in SUL/AIR after completing the degree.
SUL/AIR makes no commitment to change the level of compensation or the classification
of a staff member after completing the degree.
