Serials Binding Procedures
The Music Library binds a serial volume upon physical receipt and
shelving of the first issue of the next (newest) volume.
Steps:
1. Gather a year’s worth (1/2 a year if a monthly) of issues.
Note the call number on the shelf label.
2. Look up the title in Workflows by clicking on Item display,
choosing class number (not call number) browse and entering the
call number in the search field. Leave the library field at ALL_LIBS.
3. Check MARC holdings record for any indexes or supplements that
should be included in your binding and add to the pile.
4. Looking at the volume listing, see how the volumes have been
bound and group your issues accordingly.
5. Double check that all issues needed for binding are present.
If not, look at the holdings record at the bottom of the bibliographic
record in Workflows. If the missing issues are the last of the current
volume, we may not yet have received them. If this is the case,
return these to the Current Periodicals shelf. Otherwise, if the
missing issue(s) is(are) recorded as already received, do a search
around the Current Periodical shelves, the Reference Room shelves
and the general stacks and then on the serials duplicates shelf.
If you don’t find them, go to procedures for Serials
claiming and unitary orders.
6. Gather together the issues as they will be bound (earliest issue
on top and with any regular-sized inserts) with two crossed rubber
bands to hold them together.
7. Place a piggy-back barcode at the upper edge of the back cover
of the last issue.
8. Create a volume record and input the barcode into Unicorn for
the group to be bound. Follow the pattern already established for
other volumes. See procedures for adding
a volume record.
9. Look in the box of binding tickets to see if that title is there.
If yes, correct any errors on the binding ticket and fill in volume
number and years.
10. If there is no binding ticket, fill out a blank binding slip.

11. Write “B&F” on a (yellow) routing slip. Tuck
the binding and routing slips inside the front cover of the first
issue to be bound. If there are odd-sized inserts, clip them inside
the cover. On the binding slip, write “Create pocket for inserts”.
Charge the title to the Bindery using the bindery prep card.
Filling Out Empty Binding Slips
Add the following information to the binding slip:
1. Account no. = 5300515
2. Style = Periodical
3. Name = Stanford Music
4. Frequency = [No. of times a year serial is published]
5. Cover color = [Color number from samples; if there are already
bound volumes, check the color of previous bindings]
6. Print color = W (for white)
7. Spine lettering: Placement of spine lettering is done with the
help of a slot gauge for height placement. Look at a filled out
binding slip for guidance. Spine information includes: title, volume,
number, year, call number and location.
