Access & Circulation

After-Hours Access to Swain Library

Stanford faculty, as well as Stanford Chemistry and Chemical Engineering graduate students, postdocs, and visiting scholars are eligible for 24 hour access to the library. Graduate students and postdocs from other departments are eligible for after hours access to the Library if they have a current Stanford ID and a letter from their faculty advisor indicating a need for 24 hour access to Swain materials. If Green Privileges issued the ID card, a $25 refundable card deposit is collected. In addition, everyone must complete an orientation to the library which is offered every Thursday from 3pm–3:30pm. Who is Eligible

  • All Stanford University faculty.
  • All graduate students, postdocs, and visiting scholars in the Departments of Chemistry and Chemical Engineering.
  • Graduate students and postdocs from other departments at Stanford University who have a letter from their faculty advisor indicating a need for 24 hour access to Swain materials. Permission letters must be on letterhead stationary or be submitted as an electronic message from the faculty advisor directly to asharma4@stanford.edu.
  • Undergraduate chemistry and chemical engineering students who require access because of their work in a lab group may be eligible for card access to the Library. A letter indicating a need for 24 hour access to Swain materials is required from the faculty member who is in charge of that laboratory. Permission letters must be on letterhead stationary or be submitted electronically from the faculty advisor directly to asharma4@stanford.edu. Permission for undergraduates working in research labs must be renewed at the beginning of each academic quarter.
  • Selected Chemistry and Chemical Engineering Departmental staff (e.g. Administrative).
  • Selected research and academic staff in other departments may be eligible for 24 hour access to the Library.

Policies and Procedures

Twenty-four hour access is a privilege that is granted to Stanford students, faculty and academic staff who have a demonstrated need for round-the-clock access to Swain's collection in order to support their research needs. Users who have 24 hour access to the Swain Library must abide by these rules and regulations governing use of the Swain Library when it is closed:

  • Twenty-four hour access to the Swain Library is a privilege that is granted only by the Swain Library. This privilege is granted to an individual and cannot be shared or transferred from one user to another.
  • All eligible after-hours users must take an “orientation tour” before getting 24-hour access to the Swain Library. Orientation tours are given each Thursday from 3:00–3:30pm. After completing the tour, all users must show their Stanford ID and fill out a 24 Hour Access Form. All students must have a valid e-mail address stored in the library computer system. If an applicant’s ID was obtained from Privileges, a $25 refundable deposit is required.
  • All after-hours users must be prepared to show IDs when using the Library. At closing, all users must leave the Library and re-enter using the access card to open the door. Companions may not stay in the Library if they lack a personal access card.
  • Cards should not be loaned to another individual or used to let unauthorized people into the Library. Swain after hours access may be revoked if a card holder is responsible for loss, theft, or damage to the collections; or from misuse by loaning card to others or by letting unauthorized individuals enter.
  • Only public workstations may be used when the Swain Library is closed. Staff workstations are off-limits. Please do not reconfigure or alter any settings of Swain’s public workstations. Please do not store personal files or install software on the hard disk. Copying software or documentation may be subject to the Copyright Law. Unlawful copying is prohibited. Please do not send files to Swain’s printers from other locations. If others are waiting, please restrict use to one-half hour (one hour for CAS searching). Please respect these guidelines and do not freelance. Bypassing security programs, adding/deleting software, and modifying the System folder is unlawful, discourteous, and could be considered a violation of the Fundamental Standard. Users caught violating Swain’s computer guidelines will forfeit 24-hour access to the Swain Library.
  • Loan periods for materials remain the same, regardless of whether the Library is open or closed. All regular materials must be charged out before taking them from the library. The reserve collection is not available when the Library is closed.
  • Please make sure that the Library door is closed and locked. The door should not be propped open for any reason. If you are the last one leaving the Library, please close all windows and turn off all lights. Please report any suspicious or unsafe behavior to the Stanford police. A campus phone is in the lobby of the Swain Library (call 9-911).
  • If the door does not open as expected, please report the problem to staff as soon as feasible.
  • All visiting scholars are required to return their access cards when leaving Stanford. Undergraduates with 24-hour access must report change of status to Aparna Sharma (asharma4@stanford.edu; 723-9710) when leaving lab research jobs.
