    Status Report: Outsourcing Book Processing at Stanford University

    Where we are: Domestic vendor

    • vendor RFP, presentation.  Re-select YPB
    • pilot reprofiling and shelfready in Engineering (March 96)
    • re-profiled (had one, now have 13)
    • observations after 10 months in operation
      • 13 profiles -- who's on first?
      • multiple approval slips + one book = multiple transactions
      • Hmmm, are we getting all that we should?
      • "returns" still 3%; refining profiles 
     
     

      

    Where we are: Shelfready + Data

    • All approvals and firm orders, June 1996 -
      • Sept - May 10,344; 50% CIP upgrades; 13% Provisional +
      • end-processing to spec for 19 locations
      • class numbers and Provisional + records
      • standard YBP data transmission while we wait for EDI (9xx fields)
    • SUL redirected 300 S.O.'s, but not yet shelf-ready
      • est. 80% cataloged separately
      • 20% need SUL set call number 
     

     
     

    Where we are: Diogenes (summer 1996)

    • 21,000 titles (2 years old); 50% match rate
      • substandard acquisitions records
      • inadequate 260 (publisher field)
      • generic titles
    •  after 6 months, 500 hits on the 10,000
    • initial match - pleasant surprise; further enhanced:
      • better handling of 260 field
      • more criteria for generic title match
      • added intelligence for use of ISBN in matching
    • Unicorn extract; Unicorn loading of results
     

     

    Where we are: EDI

    • Value Added Network & conversion software installed
      • ADVANTIS; Premenos
      • successful test transmission with Harrassowitz
    • Invoice message specifications w/ Harrassowitz
      • just about done
      • YBP following the lead; Casalini also
    • local environment ready to parse incoming message
     

     

    Shelfready estimates for Stanford

         78,000  monograph titles added per year 
         25,000  shelfready via YBP (32%) 
         -------- 
         53,000  NOT shelfready (68%) 


    Bibliographic records for YBP Shelfready

         Of the 25,000 titles to come from YBP 
         17,500  70% - either LC full or CIP copy & class.# 
           7,500  30% - require Provisional Plus (cyclable) records and  
                               YBP class.# assignment
