Proposed Redesign
The elements in the Proposed Redesign scenario
take into account all the principles,
observations, and collective wisdom developed
during the Redesign Team's study. They focus on
cutting costs by eliminating duplicate
transactions and handling and by using technology
and vendor services, when sensible to do so,
while retaining quality and improving timeliness
of service.
Essentially, the Team proposes a multi-tiered
approach to processing which is responsive to
SUL's commitment to collect a wide variety of
material from different types of sources. This
approach avoids having the exceptional need drive
mainstream processes and simultaneously strives
to support our ability to acquire the unique
materials which are the core of Stanford's
collections.
A tiered approach allows us to cut costs where
vendors, technology, and streamlined processes
can increase efficiencies; it is projected that
63% of monographs within the scope of Redesign
can be obtained at reduced cost via the
vendor-assisted tier. The unique character of
some materials requires more expensive
acquisitions and cataloging processes;
refinements to local processes and introduction
of limited vendor services can ameliorate to some
extent the cost of processing the remaining 37%.
The recommended elements in the Local Processing
tier address those efficiencies. Our overall cost
savings will be affected directly by the
percentage of materials we can direct to the
first tier.
The proposed process changes are:
Vendor-assisted monograph
processing
Process Change 1. Acquire shelf-ready materials from
vendors; defer selector's item review for both approval materials
and firm orders until the materials are ready to be shelved.
Process Change 2. Exchange data electronically with
these same vendors: submit orders directly to their on-line databases
and receive electronic bibliographic, holdings, and invoice information
for all items supplied.
Process Change 3. Use automated batch search services
to repeat bibliographic searches when fuller cataloging copy is
needed.
Local monograph
processing
Process Change 4. Consolidate the processes of receiving
and posting of payment for materials received and invoiced manually.
Process Change 5. Use standards-based technology to
support simultaneous pre-order searching of local database and of
bibliographic utilities; automate batch creation of order records
as a result.
Process Change 6. Use technological enhancements to
facilitate the activities of original cataloging and redesign original
cataloging workflow to assign tasks across a broader range of staff.
Process Change 7. Decentralize certain categories of
catalog maintenance.
Serials processing
Process Change 8. Check-in all serials on-line in
the service units.
