Definition
A collection is a group of library materials that consist of 50 titles or more, acquired by purchase or gift.
It is assumed that additional processing funding, including preservation costs, is part of Collection Development's consideration when acquiring the materials. When such funds are available, processing may be handled as a special project, exempt from the guidelines set forth in this document.
In addition, curators are responsible for arranging with Facilities/Access
Services for the necessary storage space for the unprocessed materials upon their receipt at SULAIR.
Most collection processing is carried out by Metadata Department and Monograph Receiving. However, other Technical Services departments are involved, some routinely (like End Processing) and others as required. While this document is primarily meant to serve Metadata Department, Monograph Receiving and Collection Development, the role and tasks of other departments are also outlined in the Checklists of Responsibilities by Department.
Factors that apply to collections:
- Typically consist of books, pamphlets and some serials.
- Do not fit into the regular incoming workflow and will not go through standard acquisitions processing.
- It is assumed all selection decisions and inventory have been done by Collection Development.
- De-duping by Collection Development is highly desirable as it helps to decrease the size of collections awaiting cataloging.
- Require item-level access; though a collection level record may be an option or first step
- Are usually privately assembled rather then commercially published
- May require some preservation or reformatting treatment ; replacement copies of brittle printed items -- most often microforms and photocopies in the past, but increasingly digital -- become an integral part of the final collection
- Fall into a processing queue based on the following considerations:
- Input from Collection Development (see New Collection form)
- Accession date
- Resource group parity
- Physical condition of collection
- Availability of processing staff
- Availability of funding if additional staff need to be hired
- Availability of space at final shelving location
