    Guidelines for creating bibliographic records for automated copy searching

    These guidelines are written with a view to maximizing matching potential of bibliographic records against RLIN (Marcadia) or OCLC. The goal is to create a brief record that has enough accurate data to automatically match against full catalog records, rather than having enough data to be recognized by a person. The data elements are somewhat expanded beyond those required according to the procedures in the Acquisitions Manual, Ch.2.1E: Creating new bibliographic records for acquisitions purposes.

    REQUIRED FIXED FIELDS

    Leader 06 = Unicorn Rec_Type
    Leader 07 = Unicorn Bib_Lvl

    Both must have valid codes. Unicorn supplies values based on FORMAT; music and visual materials must be explicitly coded

    Determine which RLIN file is searched for Marcadia.
    Leader 17 = Unicorn Enc_Lvl

    Must be = 5

    Required by load agreement with RLIN.
    008/06 = Unicorn Dat_Tp

    s = single (default)
    m = multiple dates
    t = publication and copyright dates
    n = unknown

    Required for Socrates LIMIT.
    008/07-10 = Unicorn Date1 Required for matching and Socrates LIMIT.
    008/15-17 = Unicorn Ctry

    Supply if known.
    Consult USMARC Code List for Countries.
    If unknown = xx

    Required for Socrates LIMIT; not currently used for match verification.
    008/23 = Unicorn Repr

    Code for microformats.

    Used for match verification if coded.
    008/35-37 = Unicorn Lang

    Supply if known
    Consult USMARC Code List of Languages.

    Required for Socrates LIMIT; not currently used for match verification.

    Transcribe exactly as to wording, order and spelling; do not use abbreviations not on the title page.
    Supply correct nonfiling indicators.

    Used for initial match in absence of standard number; used for match verification otherwise. Normalized string match.
    246 $a   Variant title

    Supply if title construction is doubtful.

    Same as 245; increases chance of match in case of unclear title/subtitle phrase.
    250 $a   Edition statement

    Use only standard abbreviations.
    In case of doubt whether phrase is an edition statement, omit 250.

    Used for match verification.
    260 $a$b$c   Publication statement.

    Transcribe as accurately as possible; use only standard AACR2 abbreviations for place and publisher.
    Must include diacritics!

    Used for match verification. Unnormalized string match; words less than 3 letters ignored.
    300 $a$e   Extent of item

    Include for multipart titles, i.e. multiple volumes or accompanying material.

     
    440 $a$v   Series statement

    Omit initial articles and statements of responsibility.
    If numbered, supply vol. number preceded by $v.

    Used for match verification; normalized string match.
