Guidelines for Accompanying Materials in a Format Different from the Main Work
1. Add an 006 field, unless the main
item is nonprint and the accompanying
material is print. If you have a
disc and it is difficult to determine
what it is, you may insert the disc in
your computer and examine the file
contents to infer the nature of the
contents (e.g. if it is all PDF files, it
is a text file-TypMat d in the 006, if it
starts your music CD player, it is a
sound disc)
2. Describe the accompanying materials
in the $e of the 300 field. Generally use
standard SMDs. Size (in parentheses) is
optional, but may be helpful in cases
where the material has no standard size
(i.e. printed materials) or varying
standard sizes (i.e. sound discs,
computer disks), or the material is not
of the standard size. Examples:
- 1 CD-ROM
- 2 CD-ROMs
- 1 CD-ROM (3 in.) [a nonstandard
size]
- 1 sound disc (4 ¾ in.) [for
an audio CD]
- 1 videodisc (4 ¾ in.) [for a
DVD]
- 1 computer disk ( 3 ½ in.)
[for a diskette]
- 2 sheets (28 cm.)
- 1 folded map
- 1 videocassette
3. Add systems requirements note (for
CD-ROMs and Computer disks) if the
information is readily available.
Statements about system requirements may
be on the disc surface or disk label, on
the cover or jacket flaps of the book, or
at the beginning or end of the text. Make
a reasonable search for this
information.
After determining the requirements,
formulate the system requirements note.
Include information on the make and model
of computer (PC or MAC), and operating
system, as well as any requirements which
seem unusual. Examples:

Windows/PC, Windows 95/98/NT 4.0x;
Macintosh, PowerPC, system 7.6.1 or
above.

requirements for accompanying CD-ROM:
PC; Microsoft Windows 95/98/ME/2000/NT
(ver. 4 or higher); or Macintosh Power
PC 120; system 8.1 or higher.

If the information on system
requirements is not readily availabe,
omit the note.
4. Determine if the accompanying
material has its own unique title. If so,
add an explanatory note and trace the
title. Example:

500 Accompanying
CD-ROM entitled: PsychAbilities.
-
740 02 PsychAbilities
5. Check the holdings. These are
usually added by Monographic Receiving
staff, but it should be checked. In
particular, audio CDs and DVDs are
frequently mistaken for CD-ROMs.
Generally, use standard SMDs as in the
300, but remember that if the
accompanying material has its own unique
title, this should be recorded in the
holdings instead. See

6. Check the copy segment. For one
book with one accompanying object, the
number of pieces should be 2.
