Procedure for Cataloging a Print Item when Symphony Already has
a Record for an Online Digitized Version
- Catalog the print version separately from the online version
(i.e., do not catalog over the online record already in Symphony).
There should be a separate acquisition record for the print record,
which should be used for cataloging.
- If there is copy for the print version in the utilities,
use it to copy catalog the print version.
- If there is copy only for a different edition or the online
version, use either of those for Derived Original cataloging.
That record may either be downloaded from the utilities, or,
if not in the utilities, the already existing record in Symphony
may be copied field by field into the print acquisition record.
- Be sure to delete GMD “Internet resource.”
- If the record has a 538 or 533 field, delete it.
- If the record has access points which relate only to
the digitized version, delete them.
- Delete any 006 fields (unless the item in hand requires
one because of accompanying material.)
- Make sure the record is on the MARC and not the MRDF
workform and that all fixed fields are coded appropriately.
Change “Repr” from “s” to blank.
- Make other changes (i.e., record numbers, 040, publisher,
300, etc.) according to normal Derived Original procedures.
- Add elements for the online version to the record for the print
version per usual procedures (See: Guidelines
for Cataloging Internet Resources, III. Procedures for cataloging
an Internet resource for which we have a print equivalent)
- Send the record for the online-only version to Data Control
to be withdrawn
