    Guidelines for recycling or routing collection or gift items

    • copy with subjects/without call number (except Music Library materials):
      • Match&Load record, add appropriate 590 and/or 690 fields, add copy, barcode, create gift order if the item is a gift
      • insert VALID 6XX flag
      • 910 route to CATCLASSUnit 
      • deliver to CLASS incoming shelf

    • copy with usable call number but no acceptable subjects for items that are published within the current 5 years, process the material following the Monograph Receiving Recycle procedures: Match&Load record, add appropriate 590 and/or 690 fields, add copy, barcode, create gift order if the item is a gift
      • Bibliographic tab
        • add the 020 field if the ISBN is known
        • check to see that diacritics are used in the 260 field when appropriate
        • Add the following 590 0_ note (create a Macro for this!):
          • Level3record
        • Route item to CLASS in the 910
      • Control tab
        • do not edit the DATE CATALOGED field. It's value should remain NEVER
      • Call Number/Item tab
        • Barcode the book
        • Input LEVEL3OCLC in the Item cat1 field.
        • item type, home and current location follow standard processing guidelines
        • use "Usable call #" flag (color of flag is lilac).

         

    • copy with usable call number but no acceptable subjects for items that are published more than 5 years from current date, route the material for Level 3 processing by the Classification Unit:
      • Match&Load record, add appropriate 590 and/or 690 fields, add copy, barcode, create gift order if the item is a gift
      • item type, home and current location follow standard processing guidelines
      • 910 route to CATCLASSUnit 
      • deliver to CLASS incoming shelf

    • Derived Original   copy:
      • print the SmartPort record for the variant copy found
      • create minimal level (enc lvl 5) bib record
      • add appropriate 590 and/or 690 fields, add copy, barcode, create gift order if the item is a gift
      • route to MDU cataloger in 910 field, insert printout of the copy found and deliver to MDU shelving.

    • Belles Lettres

    • titles with no copy:
      • create minimal level (enc lvl 5) bib record
      • add appropriate 590 and/or 690 fields, add copy, barcode, create gift order if the item is a gift
      • 910 route to CATCLASSUnit

    • titles with a url address:
    • New serial titles should be placed on the MDU Serials incoming shelf.
      Added issues to existing serial titles should be given to Data Control staff for adding to the serial record.  Include a printout of the Symphony record.

    Collection and gift titles routed to Classification are available for selection by MDU staff.
    Items not selected for cataloging by MDU are processed by the Classification Unit as RECYCLE or Level 3 (if publication date is more than 5 years from current date)


    Music Library materials with copy but no call number are sent to the Music Library, Attn: Nancy Lorimer. The CLASS unit does not assign call numbers for Music Library holdings.
