    Monograph Receiving Unit Guidelines

    Eval Area Checklist


    As a member of the Eval Team, you are responisble for the entire Eval Area and its associated processes
    and services for one week (Monday-Friday) during each 6 week rotation.

    The schedule will be assigned by the Monograph Receiving Operations Manager.
    Calendar will be maintained by the Operations Manager.  White board will be maintained by all eval staff.
     

    Monday morning (or first work day of the week):

    • Check schedule and note the color to be swept on the previous Friday in the SELECTOR column of the schedule.
    • Sweep all selector shelves and Reject shelves.
    • Mark "NE" on the approval slip of any materials that have not been evaluated by the selector but are due to be swept.
    • Place swept materials for Reference locations, Rush, Notifies or nonbook formats on the receiving RUSH shelf.
    • Place swept materials for New Book locations at the START SIGN on the approval receiving shelves.
    • Place all other swept materials on the approval receiving shelves in no particular arrangement other than by color.
    • Distribute all approvals on the "Unsorted Approvals" truck. Note the difference between "language" shelves and "studies" shelves and use appropriate shelves.
    • Check basic supply tray and restock if we are low on pens, pencils, pads, paper clips or rubber bands.
    • Update white board schedule by changing the date range for the week prior to a future date range (5 weeks ahead).
      • Example: erase 5/17-5/21, replace with 6/21-6/25 (date range 5 weeks ahead)


    Every morning and every afternoon (2 times per day only):

    • Each day continue to check for and sweep previous week's color that may have been missed.
    • Spot check vendor supplied slips in books on the approval shelves to make sure that some firm orders didn't end up on the approval shelves by mistake.
    • Check flags. Be sure that there are a lot of every flag that is used. Replenish as needed.
    • Place swept materials for Reference locations, Rush, Notifies or nonbook formats on the receiving RUSH shelf.
    • Place swept materials for New Book locations at the START SIGN on the approval receiving shelves
    • Place all other swept materials on the approval receiving shelves in no particular arrangement other than by color.
    • Distribute all approvals on the "Unsorted Approvals" truck. Note the difference between "language" shelves and "studies" shelves and use appropriate shelves.


    If the color of the week takes up more than one range, use the lowest shelf or shelves on the previous week's range. Do not put them on the next week's range.
