    Monograph Receiving Unit Guidelines

    Format Change


     

    It is important that you recognize when you are changing the format of a record in Symphony. The record format may be changed by modifying the Record Format box on the Control tab or by overlaying with a record in a different format in Smartport. Be very careful about changing the Record format box because there will also be other changes that you will need to make in the fixed and variable fields once the format has been changed. Be aware of different formats when you are overlaying with a Smartport record.

    The most commonly used formats are: MARC, MAP, MRDF, MUSIC, SERIAL, VM

    Format changes result in 2 records appearing in Socrates so you must indicate that you have intentionally changed the format by adding a TECHSTAFF note in the Call Number/Item screen using the statement below:

                fc:<your initials> <today's date>

    If you are overlaying a MARC record with a SERIAL record and an single-volume order record is linked to the title, you will  need to add this in a TECHSTAFF note field on the order  <vol. description> orig. ordered on a books record
    or what was originally ordered (inferred from the books bibliographic information) will be lost.

    Route each format to the correct processing unit.
