    Monograph Receiving Unit Guidelines

    Updating Multi-Volume Monographic Bibliographic Records


    Follow procedures for Receiving Multi-volume Orders.

    Add a 500 note to describe any variances in author or publisher of this volume.

    Create or add to an existing 505 (contents) field.

    Update 4xx and 8xx fields.

    Numbered sets:

    If a 505 is needed, list the volume numbers in numerical order using the caption (e.g., Bd., t., T., Heft, v., no.) with appropriate AACR2 abbreviations (Example 1) and numbering (Example 2) as it appears on the piece. If no caption is present (Example 3), do not use one.

    Example 1:

    505:0 : v. 1. The early years - - v. 2. The middle years - - v. 3. The late years.

    Example 2:

    505:1 : 1o. v. Enquadramento geral -- 2o. v. Dispositivo das nossasforðcas. Angola -- 3o. v. Dispositivo das Nossas Forðcas, Guine -- 4o. v. Dispositivo das Nossas Forðcas, Moðcambáique -- 5o. v. Condecoracoes militares atribuidas.  t. 1. Torre espada a valor militar. t. 2. Cruz de Guerra, 1962-1965. t. 3. Cruz de guerra, 1966. t. 4. Cruz de guerra, 1967. t. 5. Cruz de guerra, 1968-1969. t. 6 Cruz de guerra, 1970-1971. t. 7. Cuz de guerra, 1972-1973.

    Example 3:

    505:2 : 1. The beginning -- 3. The end.

    Unnumbered sets:

    If a 505 is needed, arrange the volumes in alphabetical order and give the earliest letter the lowest number.

    Ex.

    505:1 : [1] Azuay -- [2] Guayas -- [3] Manab i -- [4] Pichincha -- [5] Chimborazo -- [6] Esmeraldas -- [7] Imbabura -- [8] Bolivar -- [9] Canar -- [10] Carchi -- [11] Cotopaxi -- [12] El Oro -- [13] Loja -- [14] Los Rios -- [15] -- Tungurahua.

    Volumes 1-4 were received first. Volumes 5-7 were received in a second batch. Volumes 8-15 were received in a third batch.
    Please refer to the alphabetical list of Mexican States when assigning volume numbers for Mexican States.
     

    505 1st indicator 0 = Complete contents

    1st indicator 1 = Incomplete contents (more will be published)

    1st indicator 2 = Partial contents (more have been published, but contents unknown)

    If you can ascertain that receipt of this volume(s) will complete the monographic set complete the following steps:

    Fill in fixed field DATE2 with the publication date of the last volume published.

    Modify the date in the 260 to include the ending date of publication (e.g., 1993- becomes 1993-1998.

    Modify the 300 field to reflect the total number of volumes in this set (e.g., v. becomes 4 v.)

    Follow procedures for updating the MHLD record to reflect the volume(s) you are adding.
